Privacy policy

This policy explains what information Free Email Sender processes, why it is needed, how it is protected, and the choices available to you.

1. Scope of this policy

This policy applies to the Free Email Sender website, accounts, campaign tools, billing features, and support interactions. It does not control the independent practices of your SMTP provider, recipient email provider, payment provider, or websites linked from our service.

2. Account and profile information

When you create or update an account, we process information such as your name, email address, password hash, preferences, plan, usage, and account status. This information is needed to authenticate you, provide the service, prevent unauthorized access, and communicate about your account.

3. Imported contacts and campaign information

When you build a campaign, we process the recipient information you upload, including email addresses, names, CSV or Excel column data used for personalization, templates, subjects, message content, schedules, and campaign settings. This data is used to validate contacts, remove duplicates, personalize messages, queue delivery, and produce campaign reports.

4. SMTP credentials

Connected sender details may include an email address, SMTP host, port, username, and app password or credential. Sensitive SMTP credentials are encrypted before storage and are not returned to the browser after being saved. They are decrypted only when needed to test the connection or perform delivery that you request.

5. Delivery and engagement records

We process operational events such as queued, sent, failed, and opened status, timestamps, error messages, and recipient-level results. These records help display real-time progress, diagnose invalid addresses or provider rejections, prevent duplicate processing, and improve campaign reporting.

6. Billing information

Payments are processed by Stripe or another displayed payment provider. We receive transaction identifiers, payment status, amount, currency, and limited billing information needed to confirm purchases and maintain records. We do not intend to store complete payment-card numbers or security codes on our servers.

7. Technical and security information

We may process IP addresses, browser and device information, request logs, authentication events, cookies, and diagnostic data. This information supports login sessions, fraud prevention, troubleshooting, rate limiting, security monitoring, and service reliability.

8. How we use information

We use information to provide requested features, deliver campaigns, process payments, answer support requests, secure accounts, enforce our terms, investigate abuse, comply with legal obligations, and improve performance. We do not use your imported contact list to send our own marketing campaigns.

9. When information is shared

Information may be shared with infrastructure, hosting, database, queue, payment, and email-delivery providers only as needed to operate the service. It may also be disclosed when required by law, to protect users or the platform, during a business transaction, or with your direction or consent. We do not sell imported recipient lists.

10. Retention and deletion

Information is retained for as long as reasonably needed to provide the service, maintain campaign and payment records, prevent fraud, resolve disputes, and meet legal obligations. Retention periods can differ by record type. Deleting an account or campaign may not immediately remove encrypted backups or records that must be retained for legitimate legal or security purposes.

11. Security

We use reasonable technical and organizational safeguards, including encrypted SMTP credentials and access controls. No internet service can promise absolute security. Protect your account with a unique password, use provider-issued app passwords where supported, and contact us promptly if you suspect unauthorized activity.

12. Your privacy choices

Depending on your location, you may have rights to request access, correction, deletion, restriction, portability, or an objection to certain processing. We may need to verify your identity before completing a request. You can also update available profile information directly through account settings.

13. Children's privacy

Free Email Sender is intended for business users and is not directed to children. Please contact us if you believe a child has provided personal information through the service without appropriate authorization.

14. Policy updates

We may update this policy when features, providers, or legal requirements change. The latest version will appear on this page with an updated date. Material changes will be communicated when reasonably required.

15. Privacy questions or requests

Email [email protected] with the subject “Privacy Request.” Include the account email and the nature of your request, but never send passwords, SMTP credentials, or complete payment details.
